Last updated: 8th August 2026
Recruit Today is committed to protecting the privacy and personal data of our clients, candidates, and website visitors. This Privacy Policy explains how we collect, use, share, and protect your information in line with the UK Data Protection Act 2018, GDPR, and relevant global standards.
1. Information We Collect
We may collect and process the following types of personal data:
- Contact Details: Name, email address, phone number, and residential address
- Employment Information: CVs, cover letters, job applications, education, work history, qualifications, references, and job preferences
- Identification: Proof of ID (passport, driving licence), right-to-work documents
- Financial Data: Bank details (for payroll or direct deposit), National Insurance details (if applicable)
- Demographic Data: Gender, ethnicity, disability/veteran status (if voluntarily shared)
- LinkedIn Data: Login credentials if required for job applications (only with your permission)
- Usage Data: Your interaction with our website, IP address, browser, device type, and referral source
We do not knowingly collect data from individuals under 18 years of age.
2. How We Use Your Information
We collect and use your data for the following purposes:
- To deliver recruitment and job placement services
- To assess your suitability for roles and share your profile with potential employers
- To conduct background or eligibility checks where required
- To process payroll and benefits for candidates placed via Recruit Today
- To respond to support requests or service enquiries
- To improve our website's performance and user experience
- To comply with legal requirements and prevent fraudulent activity
3. When & How We Share Your Data
We do not sell or rent your personal data. However, we may share your information:
- With prospective employers or clients for recruitment and placement
- With third-party service providers (e.g., payroll processors, CRM platforms, IT/security tools)
- In legal circumstances such as a court order, law enforcement request, or contractual obligation
- If we merge, restructure, or transfer our business assets
We ensure any external data processors we work with follow strict data protection obligations. We do not transfer your personal data outside the UK unless appropriate legal safeguards (e.g., adequacy decisions or Standard Contractual Clauses) are in place.
4. Cookies & Analytics
We use cookies and similar technologies to:
- Understand how users engage with our website
- Track performance and improve services
- Personalise content and user experience
We use tools like Google Analytics and may work with third-party vendors. These tools collect anonymised data only and do not access your personal details. You can adjust cookie settings in your browser preferences.
5. Google User Data (Gmail Integration)
If you choose to connect your Gmail account to Recruit Today, we request read-only access (gmail.readonly) to your email messages. We use this access to:
- Automatically detect and flag application-related emails (e.g. job rejections, interview invitations, or offers) sent to you by employers or recruiters
- Display these emails — including sender, subject, and full message content — within your Recruit Today inbox, so you and your assigned recruitment team can review them
We do not send, delete, modify, or forward any email on your behalf. Access is strictly read-only and one-way (from Gmail to Recruit Today). Synced email content is visible only to you and to Recruit Today staff directly involved in your recruitment (your assigned recruiter, team lead, and platform administrators). OAuth credentials used to access your account are encrypted at rest.
You can disconnect your Gmail account at any time from your account settings, which immediately stops further syncing. Disconnecting does not automatically delete previously synced emails — you can request deletion by emailing [email protected], and we will process the request within 30 days, unless retention is required by law.
Recruit Today's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
6. Advertising & Third-Party Links
Recruit Today may occasionally show ads or partner content via third-party networks. These partners may use cookies, scripts, or beacons to personalise ad content. We do not control how third parties collect or use your data. Once you leave our website via an external link, their policies apply — not ours.
7. Data Security
We take your privacy seriously and have implemented appropriate technical and organisational measures to protect your information from:
- Unauthorised access or disclosure
- Loss, theft, or destruction
- Unlawful processing or alteration
Despite best efforts, no data transmission over the internet is 100% secure.
8. Your Rights
Under GDPR and the UK Data Protection Act, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or outdated information
- Request deletion of your data
- Restrict or object to certain processing
- Request data portability
To exercise your rights, email us at [email protected]. We may need to verify your identity before processing certain requests.
9. Retention
We retain your data only as long as necessary to:
- Deliver services
- Fulfil contractual obligations
- Meet legal, tax, or regulatory requirements
Once data is no longer needed, it will be securely deleted.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make significant changes, we will post the revised version on this page, update the “Last Updated” date above, and notify you by email or on the website (if applicable). Your continued use of our services means you accept the revised terms.
11. Contact Us
For questions, data requests, or complaints, contact our Privacy Coordinator at [email protected] or +44 7939 294289. We aim to respond to all requests within 30 days.
